Solution · WhatsApp chatbot for gyms

A WhatsApp chatbot for gyms that answers voice notes.

A WhatsApp chatbot for a gym answers prospects and members at any hour, books visits and tells the owner about every new lead. Ours also understands voice notes and replies with one — in English or Kiswahili for the first gym — and hands the conversation to staff when it should.

What it does

The front desk, on WhatsApp

  • Answers the usual questions

Opening hours, location with a map pin, memberships, classes, the timetable, facilities, coaches and how to join — at any hour.

  • Turns prospects into visits

Asks the person's goal, suggests a membership that fits, books a day-pass visit or a free tour, and saves the person as a lead.

  • Alerts the owner

The owner gets a WhatsApp message the moment a lead or a booking comes in, and can text "leads" for a summary of the last 24 hours.

  • Voice notes both ways

A voice note is transcribed and answered with a voice note plus the same reply in text.

  • Native WhatsApp

Read receipts, a typing indicator, reply buttons, list menus and location pins — no web links to tap through.

  • Knows when to stop

Complaints, refunds, medical questions or a simple "I want a person" go to staff.

How it is built

Seven tools, one gym profile, a rehearsal mode

The agent can do seven things and nothing more: read the timetable, offer choices, send the location, update the contact, save a lead, book a visit and ask for a human. Everything it knows about the gym sits in one profile file — adding a second gym means writing its profile and connecting its WhatsApp number.

A dry-run mode prints every message instead of sending it, so the whole conversation — voice notes and owner alerts included — is rehearsed before anything touches a real customer. Opt-out keywords (STOP, and their Kiswahili equivalents) and a privacy notice are built in and switched on with the gym's go.

It runs as its own Docker stack on our server, with its own database, a health page that counts errors in the last hour, an uptime alert, and a deployment that rolls itself back when the new version is not healthy. More on how we build.

What we learned

What a gym chatbot needs to get right

  • People speak, they do not type. Voice notes are how many members ask questions; a bot that ignores them misses the conversation.
  • The owner wants the lead, not a dashboard. A WhatsApp alert on each booking is read; a report page is not.
  • Alerts outside 24 hours need templates. If the owner has not written to the bot recently, alerts must go out as Meta-approved templates — prepare them before launch.
  • Health questions are not for a bot. Anything medical goes to a person, every time.

A WhatsApp and voice-note agent for gyms

Members book and ask questions on WhatsApp, by text or by voice note — including in Kiswahili. The agent answers by voice when spoken to, hands the conversation to staff when needed and alerts the owner.

FAQ

Frequently asked questions

  • What can a WhatsApp chatbot do for a gym?

Answer questions about hours, prices, classes and the timetable at any hour, book visits and tours, save every interested person as a lead, alert the owner, and hand complaints, refunds and medical questions to staff.

  • Can the chatbot understand voice notes?

Yes. It transcribes the voice note, answers it, and replies with a voice note plus the same text.

  • Does it work in languages other than English?

The first gym runs in English and Kiswahili. Another language means another voice and the gym's content in that language.

  • How do we start?

Book a discovery call. We write your gym's profile with you — hours, memberships, classes — rehearse the conversation in dry-run mode, then connect your WhatsApp number.

  • How is it priced?

We scope it with you and do not publish a price. Meta bills WhatsApp message fees separately.
