WhatsApp bots for business: numbers, types, examples.

A WhatsApp bot number is an ordinary business phone number registered on Meta's WhatsApp Business Platform, with software answering the messages it receives. Businesses run bots on their own numbers for orders, bookings, support and sales; Meta's terms no longer let general-purpose AI assistants use the platform. Below: the bot types with examples, the rules every bot must follow, and how to connect one.

What a “bot number” really is

There is no special kind of number for bots. A business registers one of its phone numbers on the WhatsApp Business Platform, Meta's Cloud API delivers every incoming message to the business's server, and a program — a scripted menu or an AI agent — decides what to send back. To the customer, it is simply a chat with the business.

Once registered, the number can still make and receive ordinary calls and texts, but it can no longer be used with the regular WhatsApp app. Meta requires the number to be owned by the business, to carry a country and area code (short codes are not supported) and to be able to receive a voice call or SMS for the verification code.

What changed

Which bots Meta no longer allows

Section 4.7 of the Meta Terms for WhatsApp Business Platform (last modified 23 September 2026) prohibits “AI Providers” — providers of large language models, generative AI platforms and general-purpose AI assistants — from using the platform when that AI is the primary functionality being offered, as Meta determines. In other words, a number whose whole purpose is to be a chatbot you can ask anything does not belong on the business platform. Meta's terms mention exceptions for businesses in certain countries.

A business that uses AI to serve its own customers — answering questions about its products, taking a booking, tracking an order — is in the other case: the AI is incidental to the business, not the product. The same section also forbids letting WhatsApp Business Platform data train other AI models; a business may fine-tune a model for its exclusive use.

Types of WhatsApp business bots, with examples

Each type answers on the business's own number. The examples are the kind of exchange each one handles.

TypeWhat it doesExample messageWhat the bot does next
E-commerce ordersAnswers product questions from the catalogue, takes the order, sends payment and tracking links“Is the blue kurta back in size M?”Checks stock, replies with the price and buttons: Reserve it · Notify me · Talk to staff
BookingsTakes, changes and cancels reservations in the system the staff already use“Table for four tomorrow at 8?”Checks availability, confirms, writes the booking where the hosts see it
Customer supportAnswers frequent questions, collects details, hands the case to a person“My refund still hasn't arrived”Asks for the order reference, looks it up, passes the case to an agent with the history
Sales and leadsQualifies an enquiry and prepares the follow-up for a salesperson“Do you have flats near the station?”Asks budget and dates, records the lead in the CRM, books a call
NotificationsSends confirmations, reminders and updates the customer asked for—Sends an approved template, handles the reply buttons
Voice notesUnderstands spoken messages and can answer by voiceA voice note asking for opening hoursTranscribes it, answers, alerts staff if needed

The rules every bot has to follow

The WhatsApp Business Messaging Policy allows automation when replying within the 24-hour customer service window, but the business must also offer “prompt, clear, and direct escalation paths”: a transfer to a human agent in the chat, a phone number, an e-mail, web support, a store visit or a support form. A bot with no way out breaks the policy.

The policy also says a business may only message people who gave it their number and opted in to receive its messages. Outside the 24-hour window, the bot can only send an approved message template (how templates work).

Buttons are the simplest way to keep a bot on track: an interactive reply buttons message carries up to three choices, each label up to 20 characters, and the customer's tap reaches your server as a webhook, like any other message.

Integration

How to connect a bot to your WhatsApp number

  1. 01

    Choose the number

A number you own, with a country code, that can receive an SMS or a call. If it is already on WhatsApp, Meta asks you to delete that account first — or onboard a Business app number with coexistence, as explained in our WhatsApp CRM guide.

  2. 02

Add it to your business account

In the App Dashboard (WhatsApp › API Setup), Meta Business Suite, WhatsApp Manager, or a provider's Embedded Signup. Meta generates a test number for you while you build.

  3. 03

    Verify and register it

Enter the code received by SMS or voice call, then call the register endpoint: adding a number does not register it for the Cloud API by itself.

  4. 04

    Receive messages on your server

Set up the webhook. Each message, voice note and button tap arrives there; your bot answers through the Messages API.

  5. 05

Write the bot and its limits

What it answers alone, which systems it may act on (stock, bookings, CRM), and the moment it hands over to a person.

  6. 06

    Prepare templates and verification

Submit the templates you will need for reminders and updates. Business verification, or reaching the 2,000 messaging limit, raises the cap from 2 to 20 numbers per business (messaging limits).

Pitfalls to avoid

The agents we build — bookings for a restaurant group in South Africa, voice-note bookings for gyms in East Africa, a café ordering demo — all answer on the business's own number, act only through tools we write and hand over to staff. See WhatsApp AI agents.

  • Selling the AI itself. If the bot is a general assistant, not a service of your business, section 4.7 is against you.
  • No exit to a human. The policy requires one, in the chat or through another channel.
  • A number you cannot release. Numbers that sent paid messages in the last 30 days cannot be deleted, so test on the test number before moving your main line.
  • Free text everywhere. Where a choice is closed — a size, a date, a branch — buttons are faster for the customer and leave nothing to misread.

FAQ

Frequently asked questions

  • What is a WhatsApp bot number?

A business phone number registered on the WhatsApp Business Platform, whose incoming messages are answered by software — a scripted menu or an AI agent — running on the business's server. It has to be owned by the business, carry a country and area code, and receive an SMS or call for verification.

  • Are AI chatbots allowed on WhatsApp?

Bots that serve a business's own customers are. Section 4.7 of the Meta Terms for WhatsApp Business Platform prohibits providers of large language models, generative AI platforms and general-purpose AI assistants from using the platform when that AI is the primary functionality offered, as Meta determines.

  • Can I use my current WhatsApp number for a bot?

A number already in use with WhatsApp must be deleted from it before it can be registered on the Cloud API, unless you onboard a WhatsApp Business app number through Meta's coexistence option. Once registered, the number still takes ordinary calls and texts.

  • Does a WhatsApp bot have to hand over to a human?

Meta's Business Messaging Policy allows automation within the 24-hour window but requires prompt, clear and direct escalation paths, such as a transfer to a human agent in the chat, a phone number, e-mail, web support, a store visit or a support form.

  • How many buttons can a WhatsApp bot message have?

An interactive reply buttons message can carry up to three buttons, each with a label of up to 20 characters.
